Mucknotes — Privacy Policy

Mucknotes ("the app", "we", "us") is a livestock and equine record-keeping app
published by The Pocket App Company. This policy explains what we collect, how we
use it, and the choices you have. Questions:

What we collect
- Account data: the email address you sign in with (via
Firebase Authentication), and your display/barn name.
- Records you create: animals, barns, and the health records
and reminders you log (type, date, notes, cost, and similar text you enter or
dictate). This is stored under your account so the app can show, summarize, and
remind you about it.
- Voice input (transcript only): when you log a record by
voice, see "Voice and audio" below.
- Basic technical data: standard operational logs and crash
diagnostics needed to run and secure the service.
We do not collect location, contacts, advertising identifiers,
or biometric data, and we do not sell your data or use it for
third-party advertising.
Voice and audio
Mucknotes is voice-first, and we handle audio conservatively:
- Speech is converted to text by your device's built-in speech
recognition (Apple Speech on iOS, Android's on-device recognizer).
Depending on your device and OS settings, that operating-system service may
process the audio to produce the transcript — this is governed by Apple's or
Google's privacy terms, not ours.
- Mucknotes never records, stores, or uploads audio files. We
receive only the resulting text transcript. Audio is not
retained by us at any point.
- The text transcript is sent over an encrypted connection to our AI parsing
service (see "AI processing") solely to turn it into a structured record, then
the structured record (text) is saved to your account. Transcripts are
processed transiently for that request and are not retained as a separate store.
- Your audio and transcripts are never used to train AI models.
AI processing
Optional AI features (structuring a dictated note, and the Pro "summarize" /
"ask about my animals" features) send the relevant text — your transcript or a
compact export of your own records — to our Cloud Functions proxy, which
calls Anthropic's API to return the result. The AI answers only from the text we
send it, is instructed not to give veterinary medical advice, and neither we nor
the provider use your content to train models. If you never use these features,
no record text is sent for AI processing.
Where your data lives (processors)
We use Google Firebase (Authentication, Cloud Firestore, Cloud Functions) to
store your account and records and to run the app's backend, and Anthropic for the
optional AI features described above. These providers process data on our behalf
under their own security and privacy commitments.
Payments
Paid subscriptions are handled by the app store you purchased through
(Apple App Store or Google Play) or by Stripe. We do not receive or store your full
card details.
Your choices and rights
- Access / export: your records are visible in the app; contact
us for an export.
- Delete: you can delete individual records and animals in the
app, and delete your entire account (Settings → Account), which removes your
associated data. You can also email us to request deletion.
- Permissions: microphone access is optional and only used when
you tap to log by voice; you can revoke it in your device settings and keep using
manual entry.
Data retention
We keep your account and records until you delete them or close your account.
Audio is never retained (see above).
Children
Mucknotes is a tool for animal owners and is not directed to children under 13,
and we do not knowingly collect data from them.
Changes
We may update this policy; material changes will be reflected by the "Last
updated" date above.
